Liberonym

Privacy Policy

This policy explains how Liberonym handles personal information when you use the Service. Where a legal entity is established or designated as the operator and data controller, the controller details in this policy will be updated accordingly.

1. Principles

  • We collect what the Service needs to work, and not more.
  • You can run an evaluation without an account. Anonymous use is the default public journey.
  • Running an evaluation is separate from saving it. Nothing is added to your account history unless you choose to save it.
  • We do not sell personal information and we do not share it for cross-context behavioural advertising.

2. What we collect

Information you provide

  • Evaluation content: the name you are evaluating, your description of the business or activity, the markets you care about, and any intended meaning you supply.
  • Account information (only if you create an account): email address, password credentials handled by our authentication provider, and an optional display name.
  • Communications: messages you send us, including feedback and support requests.

Information created by using the Service

  • Reports and evidence produced from your evaluation, and — where you choose to save them — their association with your account.
  • Legal acceptance records: the versions of the Terms and Privacy Policy you accepted, the wording shown, and when.
  • Marketing preference records (only if you make a choice), including grants and withdrawals.
  • Operational and security data: technical logs, error information, rate limiting and abuse-protection signals needed to keep the Service running and safe.

Special categories of personal data are not requested. Please do not submit sensitive personal information in free-text fields.

3. Why we use it, and on what basis

  • To provide the Service — running evaluations, producing reports, maintaining your saved history, sharing where you choose to share. Basis: performance of a contract, or steps taken at your request.
  • To keep the Service secure and reliable — abuse prevention, rate limiting, debugging, protecting our access to official sources. Basis: legitimate interests.
  • To improve the Service — understanding failures and quality issues in an aggregated way. Basis: legitimate interests, or consent where optional measurement is involved.
  • To send optional marketing where you have asked for it. Basis: consent, withdrawable at any time.
  • To meet legal obligations and to establish, exercise or defend legal claims. Basis: legal obligation and legitimate interests.

Transactional, authentication, security and service messages are not marketing and are sent as part of providing the Service.

4. Public and official source data

To produce a report, Liberonym searches official and authoritative sources. Some records in those sources may contain personal information published by the authority itself. Where a record identifies a natural person and that identifier is not needed to explain an observation, Liberonym discards it or stores it only in irreversible hashed form. Liberonym does not scrape sources; it uses the access routes those authorities provide.

4.1 Published name statistics

Liberonym uses official name datasets — national statistics offices and population registers — to tell you whether a proposed name is also recorded as a given name or a surname. These datasets describe names, not identifiable people. They contain spellings, counts and reference periods; they do not contain contact details, addresses, dates of birth or any other identifier of an individual.

Liberonym uses them only to answer that one question. It does not use them to search for, identify or profile any individual, does not link a given name to a surname to construct a person, and does not infer origin, ethnicity, religion or any other personal characteristic from a name. No people-search index, person profile or search history about any individual is created or retained. Where internal counters record that this check ran, the proposed name is reduced to a short irreversible token rather than stored as text.

5. Who processes it

We use service providers acting on our instructions, under contract, and only for the purposes above. The categories are:

  • cloud hosting, database and storage infrastructure;
  • authentication and account security;
  • email delivery for authentication, service and (where chosen) marketing messages;
  • AI and language processing providers, as described in the AI & Data Transparency Notice;
  • abuse prevention and content delivery;
  • payment processing, where paid features are used.

We do not sell personal information to anyone, and we do not share it with data brokers or advertising networks. We may disclose information where required by law, or to protect the rights, safety and integrity of the Service.

6. International transfers

Our providers may process information outside your country, including outside the EEA and the UK. Where that happens, we rely on appropriate safeguards recognised under applicable data protection law — such as adequacy decisions or standard contractual clauses — together with technical and organisational measures.

7. How long we keep it

  • Unsaved evaluations: temporary working data is deleted automatically after 30 days.
  • Saved evaluations: kept while your account exists, until you delete them or delete your account.
  • Share links: expire, can be revoked by you at any time, and revoked or expired share records are removed 30 days afterwards.
  • Account information: kept while the account exists.
  • Legal acceptance and marketing consent records: retained as evidence of the choice made, because deleting them would destroy the proof of consent that data protection and marketing law require us to be able to demonstrate.
  • Security and operational logs: kept for a limited period proportionate to security and reliability needs.

Residual copies may remain in secure backups until they age out under the normal backup lifecycle.

8. Your controls in the product

  • Run without an account. No sign-up is needed to evaluate a name.
  • Save only what you want. Evaluations enter your history only when you save them, and you can delete them.
  • Export your data. Download a machine-readable copy of your account data from your account settings.
  • Delete your account. Available from your account settings, with a clear confirmation step.
  • Marketing preference. Turn optional marketing on or off at any time.
  • Privacy preferences. Manage optional storage on the Cookie Policy page.
  • Sign-out cleanup. Signing out clears evaluation state, secrets and local working data from your browser.

9. Your rights

Depending on where you live, you may have the right to access your personal information, correct it, delete it, restrict or object to processing, receive it in a portable format, withdraw consent at any time (without affecting processing already carried out), and to be free from discrimination for exercising these rights. You also have the right to complain to your local data protection or privacy authority.

To exercise a right, use the controls in your account settings or contact us through the contact page.

10. Children

The Service is not directed at children and is not intended for use by anyone below the age at which they can enter into a binding contract in their country of residence.

11. Cookies

Liberonym currently uses only strictly necessary storage and does not use advertising or cross-site tracking cookies. See the Cookie Policy.

12. Changes

We may update this policy. The version and date at the top of the page always reflect the current text, and where a change is material we will take reasonable steps to bring it to your attention.
